1. Acceptance of Terms
By accessing or using the Tenantgrid platform ("Platform"), including the website at tenantgrid.ca, any associated applications, APIs, and services (collectively, the "Services"), you agree to be bound by these Terms of Service ("Terms"). If you do not agree to these Terms, you may not use the Services.
These Terms constitute a legally binding agreement between you ("User," "you," or "your") and Tenantgrid Inc. ("Tenantgrid," "we," "us," or "our"), a corporation incorporated in the Province of Alberta, Canada.
Your use of the Services is also governed by our Privacy Policy, which is incorporated into these Terms by reference.
2. Definitions

| Tenant | An individual who rents a residential property and whose rent payment activity is tracked and reported through the Platform. |
| Credit Reporting | The process of submitting payment data to one or more credit bureaus (Equifax, Experian, TransUnion) in Metro 2 format. |
| Payment Extension | A structured short-term deferral of a rent payment obligation, subject to a 4% interest rate, as described in Section 7. |
| Platform | The Tenantgrid web application, dashboards, APIs, and all associated digital services. |
| Metro 2 | The standardized data format used by consumer credit reporting agencies for reporting consumer credit information. |
3. Eligibility
To use the Services, you must:
- Be at least 18 years of age (or the age of majority in your province or state of residence)
- Be a resident of Canada or the United States
- Have the legal authority to enter into binding agreements
- For Landlords: have legal authority to manage the properties listed on the Platform
- For Tenants: have an active lease agreement with a Landlord who uses the Platform
- Successfully complete our identity verification (KYC) process
We reserve the right to refuse service, terminate accounts, or cancel registrations at our sole discretion if we determine that eligibility requirements are not met.
4. Accounts
4.1 Account Registration
You must create an account to use the Services. You agree to provide accurate, current, and complete information during registration and to update such information to keep it accurate, current, and complete.
4.2 Account Security
You are responsible for maintaining the confidentiality of your account credentials and for all activity that occurs under your account. You agree to notify Tenantgrid immediately of any unauthorized use of your account or any other breach of security.
4.3 One Account Per Person
Each individual may maintain only one Tenant account. Landlords may maintain one account per legal entity or sole proprietorship that manages properties.
5. Platform Services
Tenantgrid provides the following core services:
5.1 For Landlords
- Rent and utility payment tracking and management dashboard
- Automated credit bureau reporting of tenant payment activity
- Tenant payment history and portfolio analytics
- Payment extension management tools (when available)
5.2 For Tenants
- Credit bureau reporting of on-time rent payments
- Payment history tracking and credit progress monitoring
- Payment extension requests (when available)
- Monthly payment confirmation and reporting status
5.3 Service Availability
The Platform is currently available in Calgary, Alberta, Canada. Geographic availability may expand over time. Certain features, including Payment Extensions, are subject to phased rollout and may not be available to all users at all times. We will communicate feature availability through the Platform and via email.
6. Credit Reporting
Important: Credit reporting is the core function of Tenantgrid. By using the Platform, you acknowledge and consent to the reporting of your payment activity — including on-time payments, late payments, and extension activity — to credit bureaus. This reporting will affect your credit score, positively or negatively.
6.1 What Is Reported
Tenantgrid reports the following information to Equifax, Experian, and TransUnion:
- On-time rent payments (reported as positive tradeline activity)
- Late rent payments (reported after a 30-day grace period from the due date)
- Payment extension arrangements and their status
- Account status (open, closed, current, delinquent)
- Account balance and credit limit information
6.2 Reporting Frequency
Payment data is submitted to credit bureaus on a monthly reporting cycle. The exact date of submission may vary. Credit bureaus may take additional time to process and reflect reported data on your credit file.
6.3 Accuracy of Reported Data
Tenantgrid makes reasonable efforts to ensure the accuracy of all reported data. If you believe that data reported to a credit bureau is inaccurate, you may file a dispute by contacting us at disputes@tenantgrid.ca. We will investigate all disputes in compliance with the Fair Credit Reporting Act (FCRA) and applicable Canadian legislation, and correct any verified errors within 30 days.
6.4 Tenant Consent
By enrolling in the Platform as a Tenant, you explicitly consent to:
- The collection and processing of your rent payment data
- The reporting of your payment activity to all three major credit bureaus
- The inclusion of both positive and negative payment data in your credit report
- Identity verification through third-party KYC providers
This consent remains in effect for the duration of your account. You may withdraw consent by closing your account, but data already reported to credit bureaus cannot be retroactively removed (except in cases of verified inaccuracy).
7. Payment Extensions
Note: Payment Extensions are a planned feature subject to phased rollout. This section will apply when the feature becomes available. Users will be notified when Payment Extensions are enabled for their account.
7.1 Extension Terms
When available, Tenants may request a Payment Extension on their rent obligation. Extensions are subject to the following terms:
- Interest rate: 4% flat on the extended amount
- Maximum extension period: as determined by Landlord and Platform policy
- Extensions must be approved by the Landlord through the Platform
- All extension activity is reported to credit bureaus
- Failure to repay an extension by its due date is treated as a late payment
7.2 Extension Eligibility
Not all Tenants will be eligible for Payment Extensions. Eligibility is determined based on payment history, account standing, and Landlord approval. Tenantgrid reserves the right to deny extension requests at its sole discretion.
7.3 Regulatory Compliance
Payment Extensions are provided in partnership with licensed financial service providers. All extension activity complies with applicable federal and provincial/state lending regulations, including the Truth in Lending Act (TILA) where applicable. Full disclosure of extension terms, including the interest rate, total cost, and repayment schedule, will be provided to the Tenant before any extension is accepted.
8. Fees & Billing
8.1 Pricing

All fees are in Canadian Dollars (CAD) unless otherwise stated. Prices are exclusive of applicable taxes.
8.2 Billing Cycle
Fees are billed monthly in advance. Payment is processed through Stripe. By subscribing, you authorize Tenantgrid to charge your payment method on a recurring monthly basis until you cancel.
8.3 Cancellation
You may cancel your subscription at any time through your account settings. Cancellation takes effect at the end of the current billing period. No refunds are provided for partial months. Upon cancellation, credit reporting will cease at the end of the current reporting cycle.
8.4 Price Changes
Tenantgrid reserves the right to modify pricing with 30 days' written notice to affected users. Continued use of the Services after a price change constitutes acceptance of the new pricing.
9. Data & Privacy
Your privacy is important to us. Our collection, use, and disclosure of personal information is governed by our Privacy Policy. Key data practices include:
- All data is encrypted at rest (AES-256) and in transit (TLS 1.3)
- Payment processing is handled by Stripe under PCI DSS compliance
- Identity verification is conducted through certified third-party KYC providers
- We do not sell personal information to third parties
- Data shared with credit bureaus is limited to payment and account information necessary for credit reporting
- We maintain immutable audit logs of all data access and reporting events
For Canadian users, our data practices comply with the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy legislation. For US users, our practices comply with applicable state and federal privacy laws.
10. Acceptable Use
You agree not to:
- Provide false or misleading information during registration or use of the Platform
- Use the Platform for any unlawful purpose or in violation of any applicable law or regulation
- Attempt to gain unauthorized access to any part of the Platform, other user accounts, or related systems
- Interfere with or disrupt the operation of the Platform or its infrastructure
- Use automated scripts, bots, or other means to access the Platform without prior written consent
- Manipulate, falsify, or misrepresent payment data or credit reporting information
- Use the Platform to harass, discriminate against, or harm any other user
- Reverse engineer, decompile, or disassemble any part of the Platform
Violation of this section may result in immediate account termination and, where applicable, referral to law enforcement authorities.
11. Intellectual Property
All content, features, functionality, software, design, text, graphics, logos, and trademarks on the Platform are the exclusive property of Tenantgrid Inc. or its licensors and are protected by Canadian and international copyright, trademark, and intellectual property laws.
You are granted a limited, non-exclusive, non-transferable, revocable license to access and use the Platform for its intended purpose. This license does not include the right to reproduce, distribute, modify, create derivative works from, or publicly display any content from the Platform without prior written consent.
12. Limitation of Liability
To the maximum extent permitted by applicable law, Tenantgrid, its directors, officers, employees, agents, and affiliates shall not be liable for:
- Any indirect, incidental, special, consequential, or punitive damages arising from your use of the Services
- Any loss of profits, revenue, data, or business opportunities
- Any damages arising from errors, delays, or inaccuracies in credit bureau reporting, provided that Tenantgrid has made reasonable efforts to ensure accuracy
- Any actions taken by credit bureaus based on reported data
- Any changes to your credit score resulting from reported payment activity
- Service interruptions, system failures, or third-party service outages
In no event shall Tenantgrid's total liability to you exceed the total fees paid by you to Tenantgrid in the twelve (12) months immediately preceding the event giving rise to the claim.
13. Disclaimers
The Services are provided "as is" and "as available" without warranties of any kind, either express or implied.
Tenantgrid specifically disclaims:
- Any warranty that the Services will be uninterrupted, error-free, or secure
- Any warranty regarding the accuracy, timeliness, or completeness of credit bureau reporting
- Any warranty that use of the Platform will result in a specific credit score outcome
- Any responsibility for decisions made by credit bureaus, lenders, or other third parties based on reported data
Tenantgrid is not a credit repair organization, credit counseling service, or financial advisor. We do not guarantee any specific credit score improvement. The impact of rent reporting on your credit score depends on many factors outside our control, including your overall credit history and the scoring models used by lenders.
14. Termination
14.1 By You
You may close your account at any time through your account settings or by contacting us at support@tenantgrid.ca. Account closure will be processed within 5 business days.
14.2 By Tenantgrid
We may suspend or terminate your account at any time, with or without cause, with or without notice. Grounds for termination include, but are not limited to: violation of these Terms, fraudulent activity, non-payment of fees, or conduct that we determine to be harmful to other users or to the integrity of the Platform.
14.3 Effect of Termination
Upon termination:
- Your access to the Platform will be revoked
- Credit reporting will cease at the end of the current reporting cycle
- Data already reported to credit bureaus will remain on your credit file in accordance with bureau policies (typically 7–10 years)
- Any outstanding Payment Extension balances remain due and payable
- We may retain your data as required by law or for legitimate business purposes, as described in our Privacy Policy
15. Dispute Resolution
15.1 Governing Law
These Terms are governed by and construed in accordance with the laws of the Province of Alberta and the federal laws of Canada applicable therein, without regard to conflict of law principles.
15.2 Informal Resolution
Before initiating any formal dispute resolution process, you agree to contact us at legal@tenantgrid.ca and attempt to resolve the dispute informally for a period of at least 30 days.
15.3 Jurisdiction
Any disputes that cannot be resolved informally shall be subject to the exclusive jurisdiction of the courts of the Province of Alberta, sitting in the City of Calgary.
15.4 Credit Reporting Disputes
Disputes regarding the accuracy of data reported to credit bureaus should be directed to disputes@tenantgrid.ca. These disputes are handled in compliance with the FCRA and applicable Canadian legislation, and are separate from general commercial disputes covered by this section.
16. Changes to Terms
We reserve the right to modify these Terms at any time. When we make material changes, we will:
- Update the "Last Updated" date at the top of this page
- Provide notice through the Platform or via email at least 30 days before material changes take effect
- For changes affecting credit reporting or Payment Extension terms, provide at least 60 days' notice
Your continued use of the Services after the effective date of any changes constitutes acceptance of the updated Terms. If you do not agree to the changes, you must stop using the Services and close your account before the changes take effect.
